Although this is just partly my merit because I got the discussion rolling, the real credits need to go to a group of developers led by Anil Chintamaneni (Eddie Ng and Anthony Zhou). The issue came as one of our clients wanted to upgrade Vault 2011 to Vault 2012 and noticed that he could not create reference Civil 3D objects through Vault. So he could check-out, check-in with no problem, but when he tried to reference them he got a message stating following:
Refreshing content did not work, either. I did my best trying to figure out what could cause the issue and how to resolve it, but nothing I tried gave me what I needed. So I reached for the above mentioned team of experts. After some research, testing, debugging, black magic and other types of exorcism they did, I was finally provided what I was looking for - something I was about to share with all of you.
1. From the standalone Vault Client (Vault Explorer), log in as Administrator
2. Go to Tools> Administration> Vault Settings> Behaviors (tab)>Properties
3. From the Property Definition dialog, select Description and select Edit
4. From the Settings tab on the Edit UDP dialog, set the State of the UDP to Enabled and select OK
Even though the UDP has been enabled, it has not been added to the data files yet. So we have to add them by doing the following:
5. Go to Tools>Find and Advanced tab
6. Under advance and enter *.c3ddata in the Value field and select Add and Find Now
7. Select all of the files returned by the search
8. From the same Advanced Find dialog, go to Actions> Add or Remove Property> select Add from the drop down for Description and select OK
9. Now log into Vault from Civil 3D and create references. Perform a project-level refresh, if necessary. There is a refresh button added to the Prospector tab. Good luck!
